HubSpot Meetings

HubSpot Meetings lets visitors book time with your team directly inside the Aimdoc chat widget using your HubSpot meeting links.

Overview

Connect HubSpot, add one or more Meetings links (from the picker or a pasted URL), then grant the booking calendar tool from Actions or a Skill and choose which link to use. When the agent is ready to schedule, it opens that HubSpot Meetings experience in chat with visitor details prefilled.

Setup

Step 1: Connect HubSpot

1. Open Integrations in the Aimdoc dashboard.
2. Connect HubSpot and authorize the requested scopes.
3. If you previously connected HubSpot, reconnect so Aimdoc can request the optional Meetings and owners scopes (scheduler.meetings.meeting-link.read and crm.objects.owners.read).

Without the Meetings scope, you can still paste a Meetings URL manually.

Step 2: Add Meetings links

1. Open Integrations and select HubSpot Meetings.
2. Pick a meeting link from your HubSpot portal, or paste a URL that uses meetings.hubspot.com or a regional host such as meetings-na2.hubspot.com.
3. To add another link, use Add another on the HubSpot Meetings card and connect a different URL. Connecting the same URL again updates that link in place.

Step 3: Choose a link for the agent

In the agent builder:

1. Open Edit Agent → Actions (or configure the calendar on a Skill that grants booking).
2. Select the HubSpot Meetings link you want that agent or skill to use.

Step 4: Grant the calendar tool

If you use Skills, grant Show booking calendar on the skill that should offer scheduling and select the HubSpot Meetings link for that skill. A connected calendar alone is not enough — the agent needs an enabled skill (or Actions configuration) that exposes the booking tool.

How booking works

1. The agent decides a meeting is appropriate and opens the HubSpot Meetings calendar in chat.
2. The iframe loads your Meetings page with visitor prefill and embed parameters.
3. When the visitor completes booking, HubSpot posts a success message that Aimdoc records as a meeting booked event on the conversation.

Common questions

Which URLs are supported?

Aimdoc accepts HTTPS HubSpot Meetings URLs on meetings.hubspot.com or regional hosts like meetings-{region}.hubspot.com, with a non-empty booking path.

Do I need Skills to use HubSpot Meetings?

No. You can configure HubSpot Meetings from Actions. If Skills are enabled, grant the booking calendar tool from the skill that should schedule.

Can I connect more than one Meetings link?

Yes. Each distinct Meetings URL is stored as its own connection. Use Add another under HubSpot Meetings in Integrations, then pick the right link in Actions or on each skill that grants booking.

Will bookings sync to HubSpot CRM?

HubSpot Meetings handles the calendar booking in HubSpot. Aimdoc records the booking on the conversation and continues to sync contacts and transcripts through the standard HubSpot CRM integration when configured.
